Our client is a leading US financial services company providing a retail trading and investment platform used by millions of people daily.

Challenge

Our client has a sophisticated and highly-automated hiring workflow using Greenhouse and Workday that supports the breadth of their recruiting and onboarding needs. The company often needs to conduct high-volume hiring, and during these mass hiring events, they need to maximize efficiency and minimize errors during these periods of rapid growth.

The recruiting business process starts with creating job requisitions in Workday, which are then transferred to Greenhouse for recruiters to use in their hiring processes. Then the data for each successful candidate is returned to Workday to complete the hiring process.

We had previously built an integration between Workday and Greenhouse that automated these processes. However, high-volume hiring has some unique characteristics – in particular, job requisitions for mass hiring typically reference multiple positions.

The company needed a way to automate the assignment of custom organizations from the job requisition to each position. Given the high volume of hiring transactions during mass-hiring events, this automation would eliminate the need for recruiters to update each position on the job requisition in Workday manually. The benefit of this automation is a significant reduction in manual work and reduced risk of incorrect organizations being assigned to a position.

Solution

We built a Workday Studio integration triggered as part of Workday’s create job business process. When this integration is triggered for high-volume hires, the integration uses details from the Workday business process to retrieve the requisition details and updates each position in Greenhouse with the correct organization information. Thus, the integration eliminates the need for manual updates of each position in Greenhouse, which saves time and reduces errors.

Outcome

This relatively simple integration introduces a dynamic solution that reduces effort and the potential for error in the high-volume recruiting process.
