Challenge
Our client is a rapidly growing and highly distributed organization with over 125 office locations across the US and a sophisticated virtual office service. Hiring and retaining exceptional medical professionals is a fundamental requirement for the client, and Dispatch has helped develop talent acquisition automation solutions to help deliver on this need. Credential management for all candidates and employees is also a fundamental need to assist in hiring suitable candidates for each role and maintain compliance in this highly regulated sector.
We had previously built an integrated solution between Greenhouse, their best-of-breed talent acquisition system, and Workday, their core HRIS system. To enhance this automated workflow, they asked Dispatch to build an additional integration with Modio, their credential management system. By creating an integration between Greenhouse and Modio, they would have an error-proofed way of onboarding new employees to their credential management system in near-real-time so that the credentials for all employees, including new staff, would always be current and accurate.
Solution
We designed and built an intelligent automated workflow from Greenhouse to Modio using Workato. We leveraged Greenouse’s APIs and a secure file ingestion process on the Modio side. The integration continuously monitors Greenhouse for new employees that are not already in the Modio database. When an employee was identified, the integration sent their information to Modio for ingestion and tagged them in Greenhouse as credentialed.
Data issues are common with new employee records, so the integration completes several data quality checks on the records to be sent to Modio and flags records with bad data to be manually remediated before ingestion. Once the data issues are corrected, the integration automatically reruns the data quality checks and only updates Modio upon the detection of zero data issues.
Since new employee credential data is Personally Identifiable Information (PII), this integration must be very secure. Therefore, we worked closely with Modio to ensure the file transfer to their system was appropriately encrypted and delivered to a secure SFTP site they administer.
Outcome
This solution enables our client to automatically update its credential management system upon a new-hire trigger from their talent management system. These automated workflows have eliminated substantial manual work during the recruiting process and improved data quality within their credential management system, thus improving their regulatory compliance stance.
