Client: Our client is a US-based biotechnology company leveraging novel genetic technologies to develop more effective therapies and pharmaceuticals.
Challenge: Being a clinical-stage firm, our client has been expanding aggressively, with new hires joining the company nearly every day. To support this growth, our client acquired ADP Workforce Now , transitioning away from another HRIS.
This transition to a new HRIS presented some challenges when it came to replicating existing business processes. Our client uses Okta as an Identity Access Management (IAM) Solution, with users provisioned and de-provisioned based on employee status in the HRIS. A simple lift-and-shift of source systems would cause issues as Workforce Now has a fundamentally different data structure and delivery mechanism, so any employee access management flow would have to be rearchitected to make the best use of its capabilities. Dispatch, as our client’s trusted advisor, was tapped to design and implement a successful migration of source systems for the IAM process flow.
Solution: Working with our Client’s corporate IT team as well as ADP representatives, Dispatch was able to configure webhook-based data delivery from Workforce Now, using Workato as the integration fabric to facilitate data delivery to Okta.
Dispatch also took the opportunity to rebuild the logic engine that determines what user groups are assigned to a new Okta user based on data from Workforce Now. This was only possible through thorough field mapping and requirement definition, where Dispatch took the lead in identifying hidden requirements and translating business needs into technical specifications. This allowed Dispatch to expand the existing integration to also handle Employee rehires explicitly, automating work previously performed manually. Given that our client is a publicly traded company, an increased level of autonomy, reliability, and data security for critical business processes greatly helped with audit compliance.
Outcome: The client received an automated Identity Access Management solution with robust data verification features that work effectively with their new HRIS. The corporate IT team no longer has to spend time manually handling rehires, with the attendant data entry, timeline, and data security risks, but can rely on data automation to efficiently and securely manage an employee’s IT footprint.
