Our client is a leading global asset management company that operates several independent business units globally.
Background
Our client operates multiple business units across many countries. Most of the business units share a Workday HRIS platform, but many use local payroll providers due to unique jurisdictional requirements for their country or region.
The Brazilian business unit leverages the global Workday HRIS system but maintains payroll processing using ADP eXpert. Because the systems weren’t integrated, the local HR and payroll teams faced significant efficiency and data quality issues due to duplicate data entry within both applications.
Challenge
Besides the burden of manual entry, the process resulted in errors and omissions that needed to be corrected manually. The client’s objective was to offer employee self-service in Workday, with an integration to move payroll-related data to ADP reliably and without manual intervention.
Building a payroll integration in Brazil is not a trivial undertaking. Brazilian labor regulations and legislative requirements necessitate a large volume of data to be mapped (more than 1,000 fields across a dozen transaction types) and a large number of parameters to be implemented to capture the data required.
Furthermore, a significant number of unique use cases require modeling in the integration to capture the day-to-day payroll scenarios common for a Brazilian workforce.
Solution
By grid-enabling the Workday tenant, we were able to leverage the Workday PECI (Payroll Effective Change Interface) connector template. We partnered with the client and ADP representatives to define and validate transactions and field mappings and augmented PECI with a document transformation to translate Workday events to the ADP interface’s transactions. We also worked with the client to de-prioritize edge cases for which there would be limited ROI on automating as part of the integration.
We planned for a significant amount of the project to be devoted to testing and validating the solution. Payroll is a very sensitive business process, and the large number of use cases that were automated using this solution required several end-to-end validation runs and comprehensive acceptance testing.
The resulting solution generates an XML file containing ADP-defined transactions representing all relevant transactions from Workday for eligible employees and their dependents. The encrypted file is deposited to ADP’s SFTP site for processing on a set schedule.
