Our client operates an innovative construction industry SaaS technology platform whose core value proposition centers on advanced document analysis, powered by their proprietary AI-driven Q&A functionality. Their business model requires them to ingest and analyze documentation provided by their end customers, making seamless file delivery a critical operational function necessary to fulfill contractual obligations.

Challenge

The client faced a critical sales and operational roadblock: their platform required end-customer files for analysis, but their target market relied on several major file management systems, including Box, Egnyte, Dropbox, and CMIC. To win and onboard new customers, they needed a reliable, standardized way to integrate with all these platforms.

Without automation, file delivery would remain manual, error-prone, and restricted to customers using only one pre-built system—severely limiting sales reach and platform adoption.

The core technical challenge was developing a robust, embedded integration template for each system that could:

  • Replicate folder structures from the source system to the client’s platform
  • Securely deliver new and updated files (or download links/metadata) on an hourly basis
  • Be deployable through automated onboarding processes for individual customers

Dispatch partnered with the client to design and implement a suite of canonical file-management integrations built on Workato, transforming their ability to ingest customer data reliably and at scale.

The solution focused on creating standardized, low-maintenance templates:

  1. Platform of Choice: We utilized the Workato platform to build high-level workflows that manage data flow and exception handling.
  2. Batch Processing: All file and folder deliveries are handled via hourly batch actions to minimize system load and reduce processing costs.

Use Case Coverage: Each integration was scoped to support commonly used file-management operations, including folder creation, file uploads, file updates, and file deletion processing (for Egnyte and Dropbox).

Template Development: The final integrations were designed to be easily released as templates for individual customer deployments, supporting scalable and automated onboarding.

The result is a robust integration suite that automates the file delivery required for the client’s AI-driven Q&A engine to operate effectively.
