A global asset management company operating several business units across the United States and around the world.
Challenge:
Our client has a sophisticated total compensation strategy that enables employees to access comprehensive benefits from many providers. Because the company uses several HRIS systems in their different entities, including Workday, UKG and others, Dispatch built a Benefits File Orchestration Engine to streamline the data flows between the different group companies and each benefits provider.
The company recently selected a new healthcare benefits provider to replace an existing one. This extension project marked the first step in scaling the integration.
Dispatch was tasked with deprecating the existing integration linked to the Benefits File Orchestrator Integration and building a new modular extension to accommodate the new vendor’s specifications. Unlike previous vendors, this new provider required separate deliverable files for employees and dependents. While this requirement was unique, it was seamlessly incorporated into our modular architecture built using Workato.
Solution:
We leveraged the existing canonical data extraction process to modify the standardized format used for benefit providers across all group companies. Collaborating with each group company, we mapped fields from their HRIS platforms and identified the most automated and error-resistant method to generate and deliver these files to an SFTP site.
A key challenge was generating two specific deliverable files while maintaining the consistent programming pattern of the existing Benefits File Orchestrator Integration. This process enhanced our knowledge base, preparing us for future vendor additions.
At Dispatch, we prioritize security-centric integration design to ensure client compliance. Due to the sensitive nature of benefits data, we conducted extensive testing and validation. The integration was built with resiliency in mind to prevent time-sensitive hold-ups, and we implemented robust error handling and alerting measures to keep the client informed of integration run statuses.
Outcome:
The client seamlessly integrated the new vendor while maintaining a modular development approach that ensured scalability. The architecture of the original Benefits File Orchestrator Integration remained intact, and the file deliverable specifications were met. As a result, the client experienced significant efficiency improvements in incorporating employees into benefits plans and gained confidence in future expansion with Dispatch’s scalable methodologies.
