Our client is dominant in the Canadian retail landscape, with over 2,500 stores across several retail sectors and banners. This enterprise hires over 40,000 workers and processes approximately 3 million candidate applications, making efficient recruitment critical to its continued success.

Challenge

Taming the Torrent of Talent Acquisition

The volume is a testament to their growth and scale, yet it is a significant operational burden. Their existing recruitment process, which relied on their Workday platform, faced bottlenecks, high-cost manual processes, and limitations in candidate self-service. The Workday recruiting system is not tuned for the rapid candidate capture that the retail environment demands. The executive team recognized the need for a strategic overhaul to improve efficiency and candidate experience. They selected Paradox as a front-end recruiting system. However, integrating Paradox seamlessly with Workday, without replacing the core recruitment platform, presented a complex challenge. They needed a partner to build high-performance, secure, and scalable integrations to harmonize human and automated workflows across these critical systems.

Solution

Orchestrating a Seamless Recruitment Ecosystem

Our team designed and implemented a sophisticated integration architecture leveraging the Workato platform as the central nervous system between Workday and Paradox. This wasn’t just about moving data; it was about intelligently orchestrating the entire candidate lifecycle.

Key elements of our solution included:

  • Real-time Data Delivery: We built a near-real-time infrastructure for critical updates like candidate accommodations, background check statuses, and offer letter deliveries, ensuring timely and accurate information flow to Paradox.
  • Automated File Provisioning: We automated the scheduled delivery of Users and Locations master data to Paradox via secure SFTP, using SSH certificate-based authentication and PGP file encryption.
  • Enhanced Security & Privacy: All integrations adhered to the highest security standards, utilizing OAuth2 for API interfaces, HTTPS TLS 1.2 encryption, and a least-privilege approach for data access. Crucially, candidate PII data was masked and not retained in the middleware, upholding stringent privacy requirements.
  • Robust Observability & Error Handling: We leveraged our proprietary Sentinel Monitoring platform to provide comprehensive audit logging and multi-stakeholder observability without requiring specialized technical knowledge. A decoupled error-handling infrastructure was designed to provide detailed insights into failures, ensuring rapid triage and resolution.
  • Strategic Scope Management: We both partnered with the customer to determine the critical path scope and also led the customer in designing the optimal architecture for candidate and internal team efficiency. We focused on critical in-scope use cases, including delivering candidate disposition data, background check updates, and offer letter PDFs, while clearly defining out-of-scope elements to ensure a focused and efficient implementation.
